The 3-2-1 rule says keep three copies of your data, on two different devices or media, with one copy away from the office. This list is about the tools that make those copies.
The facts below come from each vendor's own product and pricing pages, checked on 11 October 2026. 4ITX did not run its own tests, no vendor paid to be here, and there are no affiliate links. Where a vendor does not publish a price, it says so.
Before you pick: what are you protecting?
- PCs and laptops: documents, desktops, the files people forget to save on the server.
- A file server or NAS: the shared folder the whole office depends on.
- Microsoft 365 or Google Workspace: email and cloud drives. Deleting or encrypting a synced file changes it everywhere, so these need their own backup too.
Most offices need two tools, or one that covers all three.

Prices: read this first
All prices are the US prices shown on each vendor's own website on 11 October 2026, in US dollars, before tax. Some are first-year offers that renew higher. Prices through local resellers in Egypt are different.
The part that matters more than the tool
- Turn on versions or immutability. A backup that ransomware can overwrite will not save you.
- Get alerts when a backup fails, and read them.
- Restore a file every month. A backup you have never restored is a guess.
In short: for most small offices, a local backup for fast restores (a NAS or a tool like the ones above), plus an immutable cloud copy (for example Backblaze B2), plus a backup of Microsoft 365 or Google Workspace, covers the 3-2-1 rule well.
