In many small offices the passwords live in three places: a notebook on the manager's desk, a shared Excel file, and people's heads. When someone leaves, nobody is sure which passwords they knew. When the bank portal password changes, half the office is locked out.
A password manager fixes this. Each person gets a private vault, the company gets shared folders for team logins, and when someone leaves you remove their access in one click.
This list uses each vendor's own published plans, prices and security audits, checked on 11 October 2026. 4ITX did not run its own tests, no vendor paid to be here, and there are no affiliate links.
What to look for
- Shared folders with permissions. Each person sees only the logins they need.
- Easy offboarding. Remove a person and their access to company logins goes with them.
- Independent security audits published by the vendor.
- Two-step sign-in for the vault itself.
- Apps for every device your team uses: Windows, Mac, phones, browsers.
The picks
1. Bitwarden
- Price checked today: Teams USD 4 per user per month, Enterprise USD 6, both billed yearly. A free organisation for 2 users exists, useful for a two-person office.
- Security: the code is open source. Bitwarden publishes audits by Cure53 (2018 and every year from 2021 to 2025) and other firms, plus SOC 2 Type 2 and ISO 27001.
- Good fit for: most small offices. Strong, simple, and the lowest price on this list for what you get.
2. 1Password
- Price checked today: Business USD 8.99 per user per month, billed yearly. A Teams Starter Pack is listed at USD 24.95 per month, billed yearly, for a small fixed group of users.
- Security: published security assessments and annual penetration test reports in its Trust Center, SOC 2 Type 2, ISO 27001 and related standards, and a public bug bounty.
- Good fit for: offices that want the most polished apps and are happy to pay more.
3. Keeper
- Price: see Keeper's pricing page. The business prices did not load as plain text on the day of writing, so they are not quoted here. Business Starter is for 5 to 10 users.
- Security: SOC 2 Type 2, ISO 27001, FedRAMP High and FIPS 140-3 validation, with regular penetration tests and a public bug bounty.
- Good fit for: offices that need to show certifications to clients or regulators.
4. Proton Pass for Business
- Price checked today: Essentials USD 1.99 per user per month (billed USD 23.88 a year), for 3 to 30 users. Professional USD 4.49 per user per month, minimum 3 users.
- Good fit for: offices that already use Proton Mail, or want the lowest entry price.
A word on what can go wrong
In 2022, LastPass reported that attackers copied encrypted vault backups from its cloud storage, along with some customer details. The saved passwords were encrypted and protected by each user's master password, which is why a long, unique master password matters more than which brand you pick.
How to roll it out in one week
- Day 1: pick one tool and set up the company account. Turn on two-step sign-in for admins.
- Day 2: create shared folders: Banking, Social media, Suppliers, Website and hosting.
- Day 3: move the shared Excel file into those folders, then delete the file.
- Day 4: invite everyone. Each person sets a long master password and turns on two-step sign-in.
- Day 5: change the most important shared passwords (bank, domain, email admin), now that they live in one safe place.
In short: any of these is far safer than a notebook or a spreadsheet. For most small offices, Bitwarden gives the most for the money; 1Password and Keeper cost more for polish and certifications.
