Zoho CRM Review: Where It Fits and Where It Stops

Zoho CRM has a free plan, Arabic in the interface and low prices. An honest look at who it suits, where its limits are, and when a custom system makes more sense.

Zoho CRM Review: Where It Fits and Where It Stops

When a small business outgrows WhatsApp chats and an Excel sheet of leads, Zoho CRM is often the first name that comes up. It has a free plan, Arabic in the interface, and prices well below the big American names.

This review uses Zoho's own published plans, prices and limits, checked on 11 October 2026. 4ITX did not run its own tests, Zoho did not pay for this post, and there are no affiliate links.

What Zoho CRM is

A CRM keeps every lead, client, deal, call and follow-up in one place, so nothing depends on one person's memory. Zoho CRM does this in the browser and on phones, and connects with Zoho's other apps (mail, books, desk, forms) and with many outside tools.

The plans and prices

US prices in US dollars, per user per month, before tax:

  • Free: up to 3 users.
  • Standard: USD 14 billed yearly, or USD 20 month to month.
  • Professional: USD 23 yearly, or USD 35 monthly.
  • Enterprise: USD 40 yearly, or USD 50 monthly.
  • Ultimate: USD 52 yearly, or USD 65 monthly.

Local taxes are added on top. Zoho did not show Egyptian pound prices on the day of writing.

Where it fits

  • A team of 3 or fewer starting out. The free plan includes workflow rules, so you can automate simple follow-ups at no cost.
  • Arabic-speaking teams. "Arabic (Egypt)" is a fully supported interface language.
  • Businesses that will use more Zoho apps. Zoho's suite connects tightly. Zoho One, the full bundle, is listed at USD 90 per user per month on the flexible-user plan with yearly licensing.
  • Standard sales processes. Leads come in, get followed up, become deals, deals close. Zoho handles that well out of the box.

Where it stops

  • The free plan is small on purpose. No mass email, no custom reports, no custom modules, and email notifications are capped at 50 per user licence or 150 a day, whichever is lower.
  • Standard and Professional have no custom modules either. If your business tracks something that isn't a lead, contact or deal (cars, units, shipments, students), you need Enterprise or higher.
  • Cost grows with every user. At USD 23 per user per month on Professional, a team of 15 pays about USD 4,140 a year, every year.
  • Your process bends to the software. When your work has steps Zoho doesn't expect, you either change how you work or pay for heavy customisation.
  • Your data lives in Zoho's cloud, under Zoho's terms. For most businesses that's fine; for some it's a deal-breaker.

When a custom system makes more sense

A ready-made CRM is the right first step for most small businesses. A custom system is worth considering when:

  • your business tracks something specific that the CRM forces into "deals"
  • you are paying for many users and many add-ons and still using spreadsheets beside it
  • you need it fully in Arabic and English, built around your own steps, and owned by you

Neither choice is wrong. The mistake is paying for a tool your team works around every day.

In short: Zoho CRM is a strong, affordable start, with a real free plan and Arabic support. It stops fitting when your process is unusual, your team grows, or the add-ons pile up. That's the point to compare it with a system built for how you actually work.
